Release Notes: SWARM Challenge Modeler v2.1

Overview

This release introduces the new Comments feature for improved notetaking and collaboration within Challenge Definition documents, along with several enhancements and bug fixes that aim to improve the Challenge Modeler app and the user experience while creating and managing Challenge Definitions. Below is a summary of the key changes.

New Features

Comments

  • Description: Users can now make comments within Challenge Definition documents, making it even easier to collaborate or track notes. You can add a comment thread for every card, and every item - including individual rows in knowpars and tables. Comments can be edited, replied to, archived and/or deleted. The Preview and Publish cards also allow you to choose whether to include active, archived, or both types of comments in the Challenge Definition report. There are visual indicators to show whether an element has a comment, and a new sidebar dedicated to comments.

  • Benefits:

    • Empower users (owners, editors, viewers) with the ability to engage in discussions on various elements within the application, including the capability to comment, reply, edit their own comments, mention other users, and search through comments.

    • Dedicated comment sidebar displays all comment threads related to the active document or specific elements within it

    • Bubbles icons indicate the presence of comments, with the ability to denote different statuses such as active or archived

    • Various Buttons are provided in the user interface to facilitate actions such as replying, editing, archiving, hiding archived comments, searching, sorting, and navigating through comments

    • Ability to control whether comments are shown or hidden in a published Challenge Definition document

    • Person associations and timestamps on comments provide insight into when comments were made and by who

  • How to Use:

    • Navigate to any Challenge Definition document in the SWARM Challenge Modeler tool

    • Open any card within the Challenge Definition document

    • Look for a conversation bubble icon in the top right corner of the card or in other potential various places within the card (e.g., knowpar rows)

    • Click on the conversation bubble icon to open the comments sidebar on the right-hand side of the page

    • View existing comments, add a new comment, reply to an existing comment thread, search through comments, or archive/delete comments by clicking on the appropriate icon

    • Hide the comments sidebar by clicking the double arrow icon near the top of the sidebar

    • From the Preview card, toggle whether you would like to show / hide comments in the published document

Enhancements

Business and Technical Sponsor Role Display

  • Description: Users' roles are now accurately reflected in the Team card, ensuring clarity regarding their permissions and responsibilities within challenge documents.

  • Impact: Transparency to user roles when collaborating on a Challenge Definition document and alignment of user roles with standard permissions.

Improved Help Button

  • Description: The Help button to access the SWARM Help Center, customer support, and related help content has been moved and redesigned to be better positioned and match the user interface. Instead of a floating orange button in the bottom right-hand corner of the screen, the help button is now a question mark button in the top right corner of the screen.

  • Impact: The help button now matches the SWARM UI and does not interfere with the new comments sidebar.

Bug Fixes and Other Changes

  1. Auto-save Functionality: Auto-save now triggers consistently, ensuring that user input is automatically saved across fields even when navigating between cards or sections.

  2. Horizontal Scroll Bar Alignment: The horizontal scroll bar is now properly centered within the designated area, eliminating the gap on the left side for improved visual alignment.

  3. Document Accessibility: Users can now enter documents without any selected use cases, addressing an issue where document access was restricted due to incomplete use case selection.

  4. Use Case Description Overlap: The overlap between use case descriptions and the tree view has been resolved, enhancing readability and navigation within the Use Case card.

  5. Challenge Statement Field Initialization: The Challenge Statement card now correctly displays the default prompt in the Organization field, ensuring consistency in user experience during challenge creation.

  6. Percentage Symbol Display: Percentage values now display the "%" symbol in generated PDFs, addressing an issue where it was omitted.

  7. Row Builder Changes: The row builder within knowpars has been updated and improved to provide clarity on the header checkbox, among other improvements.

  8. Field Alignment in Row Builder: Fields in the row builder are now aligned with the command bar, improving visual consistency and usability.

  9. Role Management: Secondary Owners can no longer change the role of Primary Owners, ensuring proper access control and maintaining document ownership integrity.

  10. Orphan Challenge Prevention: Users cannot create challenges without assigning any owners, preventing the creation of orphan challenges with no designated owners.


Release Notes: SWARM Challenge Modeler v2.0

Overview

This release introduces several new features, enhancements, and bug fixes that aim to improve the Challenge Modeler app and the user experience while creating and managing Challenge Definitions. Below is a summary of the key changes compared to the previous version.

New Features

Organizer card

  • Description: Replacing My List that was previously on the Home page, the Organizer card is meant to capture all the Challenge Definitions a user has access to and showcases what actions the user can make with each Challenge Definition

  • Benefits:

    • Better organization and management of the user’s Challenge Definitions

    • Ease of access to each Challenge Definition and to various actions (enter, copy, delete) without having to first open the Challenge Definition

    • A more intuitive way of creating new Challenge Definitions using the ‘+ Create new Challenge Definition’ button

    • Ease of switching to different Challenge Definition documents by using the Organizer button

    • Same search ability as what was available on the Home page

  • How to Use:

    • Navigate through different folders and better manage your Challenge Definitions by being able to organize them in folders, while keeping the option to see them all grouped under one folder - Global or Community

    • Users can create, edit or delete folders by using the buttons in the bottom command bar

    • Users can create, enter, copy or delete a Challenge Definition by using the buttons available in the Challenge Definition line or the ‘+ Create new Challenge Definition’ button below the table (some actions may not be available, depending on the role you have on the Challenge Definition or the folder)

    • Challenge Definitions can be moved into different folders by dragging and dropping into a different folder via the three dots on the left hand side of the page

    • Click on the Organizer button so you can easily navigate back to the Organizer card while working in a Challenge Definition

    • Users can easily search through their Challenge Definitions by name, folder, owner, role, or status

Shared With Me Folder

  • Description: The 'Shared With Me' folder within the Organizer card is accessible to all users and is meant for storing Challenge Definitions that the user has been invited to collaborate on

  • Benefits:

    • Better document management by storing all Challenge Definitions that the user was invited to collaborate on in a single folder

    • This folder includes Challenge Definitions that users are invited to by SWARM users or by any other Community user

  • How to Use:

    • Click on the ‘Shared With Me’ folder to view all Challenge Definitions you were invited to; they also come up in the Global and Community folders, alongside the Challenge Definitions you created

    • When a user is invited to collaborate on a Challenge Definition, an email invite is sent to the user; upon acceptance, the user will see the Challenge Definition(s) in the ‘Shared With Me’ folder

    • You cannot create Challenge Definitions in, move Challenge Definitions to, or remove Challenge Definitions from this folder; your access must be revoked from the Challenge Definition document to have it removed

Navigation buttons

  • Description: The ‘Previous card’ and ‘Next card’ arrow buttons have been added to the bottom left of the side menu for easier navigation through the Challenge Definition cards

  • Benefits:

    • Facilitates a smooth progression through the cards, allowing the user to move back and forward in a structured manner

    • Guides users through the Challenge Definition process, leading to a more intuitive and streamlined experience

    • Allows the user to backtrack or review previous cards, enabling correction of errors or review of decisions

  • How to Use:

    • Go to the side menu and you will find the 2 navigation buttons at the bottom of the left side menu

    • While on the first card (Challenge Statement card), the ‘Previous card’ button will be greyed out

    • While on the last card (Share card), the ‘Next card’ button will be greyed out

    • When the side menu is collapsed, the 2 navigation buttons will remain on the screen

  • Tips

    • You can still navigate by clicking directly on an element in the sidebar, so you don't have to go through each card sequentially

Role drop-down

  • Description: From the Profile page, a Role drop-down was added to allow users to designate and show what role they maintain within their organization; this is particularly helpful when collaborating with others

  • Benefits:

    • Assigning a role allows the platform to personalize the user's experience

    • The role selection can streamline workflow processes by defining their seniority and responsibilities

  • How to Use:

    • Click on the user icon / picture in the top right of the screen, select Profile, and navigate to the Role drop-down

    • Select one of the listed roles that best fits the user’s role

Enhancements

Side menu

  • Description: The improved version of the side menu offers the user a better user experience while working on a Challenge Definition

  • Impact:

    • Collapsable side menu instead of collapsing cards

    • Organizer button (displaying the name of the Challenge Definition) streamlines user movement between the Organizer card and Challenge Definitions

    • Renamed the ‘ROI’ card to ‘Impact’ card (inside the Challenge Definition)

    • ‘Publish’ section renamed to ‘Collaborate’ (inside the Challenge Definition)

    • The ‘Team’ card is a new card available as a step inside the ‘Collaborate’ section (formally known as the People card, which was on the right side of each card)

    • Navigation buttons added to the bottom left for easier navigation through the Challenge Definition cards

Rename and reposition the ‘People’ card

  • Description: The ‘People’ card was renamed to the ‘Team’ card and made available as a step in the side menu

  • Impact:

    • The card’s name better relates to its purpose and its position increases its utilization

    • Improved design and better user experience

Cards are in full canvas

  • Description: The card size has been maximized, taking the full canvas of the card area

  • Impact:

    • Expand card functionality was removed (no longer needed as cards fill the canvas now)

    • Close card functionality was removed (no longer needed as cards fill the canvas now)

    • Improved design and better user experience

Edit template rows

  • Description: Template rows (knowpars) are now editable in Scale, Current Approach and Impact cards

  • Impact:

    • The same editing functionality for user added rows is now available to edit existing template rows

    • The user can now change the wording of an existing paragraph or sentence, updating it to better fit the user’s needs and to better match the business or industry specifics

    • When switching from an existing sentence to a paragraph, the variables will be discarded (variables are not supported for paragraph rows, only sentence rows)

Button updates for Edit and View modes

  • Description: The ‘View mode’ and ‘Edit mode’ buttons have been given a new look

  • Impact:

    • The ‘View mode’ button is now called ‘Completed’, while the functionality has been kept - moving the card from an editable state to a non-editable view (PDF preview), and changing the sidebar circle to filled-in when in 'Completed' state

    • The ‘Edit mode’ button is now called ‘Edit’, while the functionality has been kept - moving the card from a non-editable view (PDF preview) to an editable state

    • Improved and more intuitive design for a better user experience

Important Changes

  • My List, previously on the Home page, has been removed and replaced by the Organizer card

  • The Home page has been revamped to highlight important news and announcements for users

  • Moved the functionalities for creating, entering, copying, and deleting a Challenge Definition in the Organizer card and removed the ‘Select a challenge’ drop-down

  • All Challenge Definitions the user has been invited to collaborate on are now under a single folder called 'Shared With Me', now available in the Organizer card

  • An improved version of the side menu provides users a better full canvas experience when working on a Challenge Definition; the side menu is collapsible, has navigation buttons, and has new card labels

  • When selecting a use case template in the Use Case card, the ‘Preview’ button has removed to reduce redundant functionalities; users can revert / change to a different use case template at any time from the Use Case card

  • Enhanced user experience by providing the ability to edit paragraphs and sentences within the chosen Use Case template, having more straight forward ‘Edit’ and ‘Completed’ buttons, and have cards in full canvas

  • Our team also squashed some pesky bugs 🪲 to keep things running smoothly
